  • “The hotel” shall mean Cave Castle Hotel, Church Hill, South Cave, East Riding of Yorkshire, HU15 2EU. The following are the terms and conditions of use of facilities at the hotel. The hotel ultimately also adheres to the laws set out in the Hotel Proprietors Act:

    1. Room Assignments: The hotel reserves the right to change your assigned function room to a similar or comparable function room.

    2. Wedding Cancellation: The hotel may, at its sole discretion, cancel a wedding upon notice to the client in the occurrence of one or more of the following circumstances: (i) force majeure, i.e., Acts of God, (ii) outstanding payments, or (iii) in the opinion of the hotel, either the customer or their servants, invitees, guests of representatives act in a manner considered to be prejudicial to the good name of the hotel. The hotel shall be at liberty to terminate the contract or event forthwith without being liable for any refund or any compensation to the client.

    3. Third-Party Contracts and Noise Levels: The hotel is required to know about all third-party contracts for entertainment or services for a function and reserves the right to prohibit the same. The hotel also reserves the right to determine the noise level at a function, and the client is obliged to adjust the level.

    4. Liabilities: The customer shall be liable for all losses or damages sustained by the hotel in respect of the premises, furnishings, utensils, or equipment, whether the same is caused by willfully or by negligence or default and shall be liable for the cost of replacement, plus compensation for the loss of business caused thereby.

    5. Compliance: The customer agrees to be bound by all reasonable instructions of duly authorised representatives of the hotel in respect of the condition of the function and shall further ensure that those attending shall similarly comply. No food or beverage may be brought from outside onto the premises unless permission is given in writing by the General Manager.

    6. Incorporation of Written Information: Any written information made available to the customer of the hotel shall be deemed incorporated herein, and in the event of any dispute, these terms and conditions shall prevail.

    7. Modifications: No modifications to these terms and conditions shall be binding upon the hotel unless the same is given in writing and duly signed by the General Manager within the hotel.

    8. Governing Law: The laws of England shall govern this contract, and any dispute referred to the English courts.

    9. VAT: VAT will be charged at the current rate and services. The company reserves the right to amend these rates in the event of a change in the rate of tax or the introduction of any government policy.

    10. Pricing: The hotel reserves the right to review its annual prices from time to time and to alter prices without notice.

    11. Sale or Auction of Business: No sale, auction of business shall be transacted at the hotel without prior written consent of the General Manager.

    12. Accommodation Bookings: After confirming the date, the hotel cannot be held responsible for accommodation being fully booked.

    13. Time Changes: Times agreed for the day cannot be changed without written agreement from the hotel.

    14. Changes or Cancellations by the Hotel: In the case of exceptional circumstances where the venue has to cancel or significantly change the arrangements for any reason, suitable alternative facilities will be provided, or if this is not possible, a full refund will be given. The hotel will not accept any claim for compensation, expenses, costs, or losses incurred by the client as a result of the change or cancellation.

    15. Complaints: In the unlikely event that you or any other member of the party has any reason to complain, you must immediately inform the hotel. Any verbal notification must be put in writing and given to the hotel as soon as possible. No liability can be accepted if you fail to notify the problem according to this procedure. Any disputed invoiced items must be raised in writing with the hotel.

    Booking: Once you have selected your date and requirements, we can make a provisional booking for you. This booking will be held for 14 days. However, if another party expresses interest in the same date during this period, we will inform you. If we do not hear from you, the provisional booking will be released without further notice after 14 days.

    Deposit: To confirm your chosen date, we require a non-refundable deposit of £1,000.00 and a signed booking form and terms and conditions from both members of the marrying couple. Once we receive these and the deposit is paid, we will confirm your booking details in writing. Minimum numbers apply to each function room as follows:

    Balmoral: Day: 60, Evening: 80

    Sandringham: Day: 60, Evening: 80

    For exclusive use of the wedding venue, there is a charge of £2,500.00 (hire of other function suite only).

    Payment terms: Payment equal to 50% of the outstanding booking value is due 6 months prior to the wedding. The final estimated charge is due 8 weeks prior to the wedding. Accommodation bookings must also be paid in full 8 weeks prior to the date or cancelled. The hotel reserves the right to charge interest at a rate of 4% per week, or part thereof, compounded on overdue accounts. We also require details of a credit card or debit card as a guarantee for any additional costs incurred on the day, payable upon departure on presentation of an invoice. Deposits and payments are non-refundable, but may be transferred to an alternative date at the discretion of the General Manager of the hotel, with a minimum of 6 months' notice and a further deposit of £1,000.00. Please note that the hotel does not accept cash deposits/payments. All payments are to be made with a credit/debit card or a bank transfer.

    Final numbers: We have detailed minimum numbers applicable to your booking, which are chargeable in full if the number of guests falls below this level, as stated on the booking form. Confirmation of accommodation requirements must be received 8 weeks prior, and table plans 14 days prior to the event taking place.

    Cancellation: In the event of a cancellation, the hotel will issue cancellation charges for the total loss of revenue to the hotel based on the following:

    52 weeks and over: 25% of the booking value

    27 to 51 weeks: 50% of the booking value

    13 to 26 weeks: 75% of the booking value

    12 weeks or less: 100% of the booking value

    The above charges must be paid within 14 days of the cancellation.

    Catering: We will only cater for the total number of guests attending the function. We will not compromise our high standards of service by partial catering or providing buffet catering as a wedding breakfast. All prices are based on a 3-course meal (not including tea/coffee or any drinks). Children aged 5-11 years will be charged at two-thirds of the adult menu price, and children under 5 years will be charged at half the adult menu price. Under 2 years are free of charge.

    If you require more than one choice for your wedding breakfast, a surcharge of £5.00 per person, per course will apply. A pre-order will also be required. We do not allow outside caterers to provide food within the hotel, with the exception of wedding cakes, chocolatiers, and confectionery.
