BOOKING:
When you decide upon your date and requirements, we can make a provisional booking for you. This booking will be held for a period of 14 days, however, should a second party be interested in the same date we will contact you.
Prices quoted are correct at the time of confirmation and include VAT. They may be subject to changeif your event requirements change or due to significant external factors.
A non-refundable deposit (amount agreed with Event Coordinator) will be required within 14 days of the booking. Once the signed terms and conditions, and the deposit payment is received, the booking is confirmed and you will receive written confirmation.
MINIMUM NUMBERS:
Minimum catering numbers are to be determined with the Event Coordinator upon booking.
Please be aware our quotations and estimates are based on our costs for the whole event, and therefore if your numbers change significantly, Cave Castle Hotel reserve the right to revise our quotation to a similar level of the original quote.
a. If the numbers of guests change such that the quote reduces by 5%, Cave Castle Hotel reserve the right to alter the quote to account for the overheads.
b. If a change in numbers and services would take the quote below 90% of the original price on booking, Cave Castle Hotel reserves the right to keep it within that margin and not reduce it further.
ROOM HIRE CHARGE:
Room hire charges are to be determined based on catering requirements and style, unless based on minimum catering numbers, or specifically agreed otherwise. Should you not require catering from the hotel, a room hire charge will be incurred. This room hire charge will increase for daytime functions running into the evening (after 6pm).
DISCUSSION:
- One month prior to your function, our Events Coordinator will contact you to make meet and discuss menu requirements, numbers and other details.
- One month prior to your event, full payment will be required alongside final numbers and food requirements.
DEPOSIT:
To confirm the booking, we require a signed terms and conditions agreement, and a non-refundable and non-transferable deposit (amount to be determined with the Events Coordinator). On receipt of your deposit, we will confirm details in writing of your booking.
Should a deposit not be received within 14 days of the booking, we will automatically release the booking without notice.
PAYMENT:
A Pro Forma invoice for the anticipated total cost will be sent to you with final details of the Function. Final numbers are required one month prior to your function together with full payment. Should the final number of guests on the day be more than the number advised, we will invoice you accordingly.
DAMAGE:
Please note the person booking the function is responsible for their entire party’s behaviour and any theft, or damage will be charged to the organiser. You are not permitted to stick anything to wallpaper using cellotape, blu-tack, white-tac etc.
For schools, colleges, and universities, we require a damage bond of £500.00. This will be returned post event subject to no damage sustained during the function. If damages sustained will exceed £500 to repair, we will invoice you post event.
CANCELLATION & RESCHEDULING:
If you wish to postpone your event, written notice must be provided before 12 weeks of the event date. We will only postpone an event date once subject to hotel availability, any other requests to postpone will be handled as a cancellation.
Please note in the event of cancellation, deposits are non-refundable and non-transferable to new bookings. Written confirmation of your wish to cancel/postpone your event is required. For cancellation, the below charges will apply in addition to the agreed deposit amount:
• 12 Months’ notice – £75.00 Admin charge
• 6 Months’ notice – 25% of contract value
• 3 Months’ notice – 50% of contract value
• 1 Months’ notice – 75% of contract value
• Less than 1 Month notice – 100% of contract value
