Hotel Terms & Conditions
These Terms & Conditions apply to all guests staying at Cave Castle Hotel and form part of your agreement with us. They should be read alongside our Booking Policy and any other applicable hotel policies.
By making a reservation or staying at the hotel, you confirm acceptance of these Terms & Conditions.
1. Arrival & Departure
Check-in is from 3:00pm. Check-out is by 10:30am.
Early arrival and late departure may be available subject to availability and may incur additional charges.
2. Guest Conduct & Responsibility
Guests are expected to behave in a respectful and considerate manner towards staff, other guests, and hotel property.
The hotel reserves the right to refuse accommodation or remove any guest whose behaviour is disruptive, unsafe, illegal, or otherwise inappropriate.
The lead guest is responsible for all individuals included within their booking.
For multi-room bookings, the hotel may require full guest names prior to arrival. Where this has not been provided, the lead guest must be present at check-in for each room.
3. Events & Noise Disclaimer
The hotel hosts private functions, weddings, conferences, and other events throughout the year, including within function spaces located on site.
As a result, some areas of the hotel may experience noise, increased activity, and operational disturbance during these events. While we always aim to allocate rooms to minimise disruption where possible, we cannot guarantee a completely quiet environment at all times.
By making a booking, guests acknowledge and accept that such activity may form part of the hotel experience.
4. Children & Supervision
Guests under the age of 18 are classed as children.
Children must be supervised by a responsible adult at all times while on hotel premises, including public areas and outdoor spaces.
Parents and guardians are responsible for the behaviour, safety, and supervision of children throughout their stay.
The hotel does not accept responsibility for injury or incidents arising from a lack of supervision, except where caused by negligence of the hotel.
5. Pets
Pets are only permitted in designated pet-friendly rooms and must be pre-booked in advance.
All pet stays are governed by our Pet Policy, which forms part of these Terms & Conditions and sets out full requirements including charges, supervision rules, and access restrictions.
The hotel reserves the right to refuse accommodation where pets have not been pre-arranged and suitable accommodation is unavailable. Any payments made in such circumstances will be non-refundable.
The hotel also reserves the right to refuse entry or remove any pet that, in its reasonable opinion, presents a risk to safety, hygiene, or the comfort of other guests.
6. Parking
Complimentary parking is available for hotel guests on a first come, first served basis. Availability cannot be guaranteed, particularly during peak periods or events.
7. Accessibility
Accessible rooms are available subject to availability. Guests requiring accessible accommodation are advised to contact the hotel prior to booking to ensure appropriate arrangements can be made.
8. Guest Property
The hotel does not accept liability for loss, theft, or damage to guests’ personal belongings unless caused by negligence of the hotel or its staff.
Guests are responsible for securing their own belongings at all times.
9. Damage to Hotel Property
Guests are responsible for any loss, damage, or excessive cleaning required as a result of their stay, whether caused by themselves, members of their party, or their visitors.
The hotel reserves the right to recover the reasonable cost of repairing damage, replacing missing items, or carrying out additional cleaning where this falls outside normal housekeeping standards. This may include, but is not limited to, damage to furniture, fixtures, fittings, or furnishings, as well as excessive soiling of bedding, towels, carpets, or other hotel property.
Where possible, guests will be notified of any charges before they are applied.
10. Hotel Cancellation
In the unlikely event that the hotel is unable to fulfil a confirmed reservation, we will make reasonable efforts to arrange alternative accommodation.
If alternative accommodation cannot be secured, all payments made will be refunded in full. Liability is limited to the total value of the booking.
11. Force Majeure
The hotel shall not be liable for failure to provide services where such failure is due to events beyond its reasonable control. This includes, but is not limited to, extreme weather, fire, flooding, industrial action, utility failure, or government restrictions.
12. Facilities & Services
The hotel may from time to time modify, restrict, or withdraw access to facilities, services, or amenities due to maintenance, operational requirements, or unforeseen circumstances. We will always aim to minimise disruption where possible.
13. Privacy
Personal data is processed in accordance with our Privacy Policy.
14. Governing Law
These Terms are governed by the laws of England and Wales.
15. Amendments to Terms
The hotel reserves the right to update or amend these Terms & Conditions at any time. The version in effect at the time of booking will apply to that reservation.
16. Acceptance
By completing a booking or staying at the hotel, you acknowledge that you have read, understood, and accepted these Terms & Conditions.
